Build Onboarding Efficiency with a Paperless Process

Dec 28, 2016 | An Efficient SYSTEM, Build |

Radically reducing the time investment your human resource or talent management experts must assign to the onboarding process of each new hire can have a drastic difference in the performance levels of these departments. While individuals must be accurately and effectively introduced into the company, HR cannot hold their hand through every step of the process or they will be unable to keep tabs on other important aspects of your daily business operations.

First, consider the sheer amount of paperwork these professionals are handed when a new employee joins the company. There’s I-9s, payroll information to input, address and social security numbers to gather and verify, assigning them to the compensations and/or benefits system – and that’s usually all while their on-the-job training is being done. Unless you have an office of multi-tasking superheroes that never sleep, you need an electric onboarding system that can not only reduce the stress and the average workload of your HR personnel, but to make a simple and smooth transition possible for your new hire.

Building this eventuality is very simple. Consider which technology you would most benefit from. Do you need an E-Verify system that allows I-9 documents to be completed by new hires at home? Can you benefit from bug apps that aid the integration of a new system or form-filling software that makes new hire data input a much quicker, less repetitive process?

Assess the current responsibilities of your HR function, and discuss with them what tasks they are most frustrated by, or what areas of onboarding they believe could use a serious update. Talk to the people who deal with this process day to day, over and over again with every new talent acquisition.

Building a successful and highly-optimized onboarding system is crucial for the seamless integration of your existing processes with a method that works with your professionals, and not against them – revolutionizing their time-management and productivity levels.

You can also discuss how your new recruits feel about their own personal onboarding experience, and what issues or benefits they encountered along the way. Organizations should seek to build an onboarding process that best serves their new talent, as this is the first impression they will get of what life is like within your company. Choosing white label software that is easily customized with your own personal branding is a great way of building culture with new talent during onboarding, and storage apps make creating a bank of knowledge relating to your businesses’ own policy and practices simple and easy to access.

If you think your current onboarding process is outdated or lacks the lasting impact it could have, consider how a custom designed paperless system could build efficiency within your organization. The less time is takes HR to introduce new hires, the quicker these employees can get their teeth suck into their new roles, and the less time it takes for staff to monotonously input their basic details into the company system, the less frustrating their company initiation will be.
